National Maritime Skills Network Website Privacy Statement

The National Maritime Skills Network (“NMSN”, “we”, “us”, “our”) is committed to protecting your privacy and managing personal information in an open and transparent way, consistent with the Australian Privacy Principles (APPs) under the Privacy Act 1988 (Cth).  

This Statement explains how we collect, use, disclosestore and protect personal information, and how you can access or correct your information or make a privacy complaint.  

  

2) What is “personal information” and “sensitive information”? 

  • Personal information is information that identifies you or could reasonably identify you (for example, name, contact details, organisation and role).  

  • Sensitive information includes information about matters such as racial or ethnic origin, political opinions, religious beliefs, trade union membership, criminal record, and health information. We only collect and use sensitive information where permitted by law and with your consent.  

 

3) The kinds of personal information we collect 

Depending on how you interact with us, we may collect: 

  • Identity and contact details: full name, email address, phone number 

  • Organisation details: organisation/employer, role/title, industry, stakeholder type.  

  • Engagement and interaction records: enquiries, feedback, complaints, meeting notes, call records, and email correspondence.  

  • Events and participation: event and webinar registrations and attendance, participation details.  

  • Preferences: newsletter subscriptions, areas of interest and communication preferences.  

  • Website and device data (passive collection): cookies and analytics data such as IP address, pages visited, browser type, and engagement with emails/links. 

 

4) How we collect personal information 

We may collect personal information: 

  • Directly from you when you contact us, register for events, submit feedback, complete forms, subscribe to updates, or participate in consultations.  

  • Through our website and online services (including cookies/analytics, where enabled).  

  • From third parties where reasonableappropriate and lawful (for example, from partner organisations, employers, or other stakeholders) and we will take reasonable steps ensure you aware where required 

  

5) Why we collect, hold, use and disclose personal information 

We collect and use personal information for purposes connected with our functions and activities, including to: 

  • Provide and administer our services and respond to enquiries, feedback and complaints.  

  • Consult and engage with stakeholders, including verifying authenticity of feedback and following up where needed.  

  • Manage events and communications, including newsletters and updates (opt-in where required).  

  • Understand engagement and improve our website and communications (including through analytics/tracking where enabled).  

  • Meet contractual, funding, governance, and legal obligations, including where information must be provided to government departments or regulators when required.  

 

We only use personal information for the purpose it was collected, or for related purposes you would reasonably expect, unless you consent or the use is required/authorised by law.  

 

7) Online services, accounts, and feedback tools  

If we provide gated features (e.g. NMSN membership portal, feedback hubs, subscriptions), we may require information such as name, organisation and email. We may also assign unique identifiers to manage contributions and engagement.  

Where we publish consultation outcomes, we aim to publish feedback in a way that does not identify individuals against specific comments (unless required for program reporting or with consent).  

 

8) Cookies, analytics and “passive” collection 

Our website may use cookies and similar technologies to: 

  • enable essential site functionality, 

  • remember preferences (e.g. subscription choices), 

  • analyse site usage and improve content and engagement.  

You can control cookies through your browser settings. You may also opt-out of some analytics collection (e.g. Google Analytics) depending on the tools used. Disabling cookies or scripts may affect site functionality.  

 

9) How we disclose personal information 

We may disclose personal information: 

  • to our employees, contractors and service providers who assist in delivering services (who are only permitted to access information necessary for their role and are required to protect it).  

  • to government authorities or law enforcement where required or authorised by law, or in connection with our funding/contractual obligations (where applicable).

We take reasonable steps to protect personal information from misuse, interference and loss, and from unauthorised access, modification or disclosure. Measures may include access controls, unique logins, and limiting access to approved personnel and contractors.

13) Accessing your personal information 

You may request access to personal information we hold about you and request corrections if it is inaccurate, out-of-date, incomplete, irrelevant or misleading, or if you wish to have your personal information removed from our records. Requests should be made in writing using the contact details below. We may need to verify your identity before processing the request. 

  

14) Marketing and subscriptions (opt-out) 

Where we send newsletters or updates, you can opt-out at any time by using the unsubscribe link in communications or by contacting us.  

 

15) Complaints 

If you believe we have mishandled your personal information, you can make a complaint by contacting us. We will review and respond within three (3) working days to advise how the complaint is being investigated and the proposed course of action 

If you are not satisfied with our response, you may submit your complaint to the Office of the Australian Information Commissioner (OAIC). 

 

16) Notifiable data breaches 

If a data breach occurs in relation to your personal information, we will act in accordance with applicable requirements, including notifying affected individuals and regulators where required
